Compose, type and mail correspondence, answer phones, schedule meetings and appointments, fax, scan, file, copy, collate, dictate and other clerical assistance.
Produce reports as needed, as well as charts, spreadsheets, reports and graphs.
Coordinate travel arrangements for employees, establish travel preference bios for frequent employee travelers and secure corporate discounts with vendors.
Request and secure current certificates of vehicle insurance for employees driving for PNC. Provide quarterly report of all insurance certificate receipts / expirations to CEO. Assist in collating vehicle information and handling claims.
Support the planning of Executive Committee meetings, including scheduling, invitations, agenda, luncheon reservations and preparation and distribution of yearly ‘marketing reports’ and other materials.
Assist with employee activities, including purchasing and sending flowers and gifts for special events, helping to plan Annual Awards Banquet and other events and providing other administrative support to the HR Department.
Create content and post on social media sites, assist with online chat, complete customer questionnaires and various marketing projects.
Coordinate safety training and set up team meetings, manage certifications and other assistance with the Safety Program.
Perform special projects as assigned by the senior management team.
DESIRED MINIMUM QUALIFICATIONS:
Education / Experience
High School Diploma or GED required. Bachelor’s Degree preferred. Minimum of 4 years in executive secretarial level position required.
Ability to interface well with all corporate departments and to represent the company in a highly professional manner. Maintain the highest level of confidentiality. Develop positive relationships across all levels of the organization.
Excellent MS skills including Word, Excel, Outlook and Internet.
